What data do we collect?

• Personal identification information (Name, email address, phone number, etc.).

• Log Files (includes internet protocol (IP) addresses, browser type, Internet Service Provider (ISP), date and time stamp, etc).

• Content-related information in accordance with the Cat Media Data Processing Statement. 

• Information generated or processed through approved AI-enabled tools, where relevant to our business operations, CRM management, marketing, customer support, analytics, content workflows, or service enquiries. This may include prompts, outputs, summaries, classifications, tags, notes, or analysis derived from information you have provided to Cat Media, where processed in accordance with this Privacy Policy and applicable data protection laws.

• Information stored in Cat Media’s customer platform and CRM, including contact details, company details, email communications, meeting bookings, call notes, meeting recordings, transcripts, AI-generated meeting notes, summaries, CRM activity history, commercial interactions, event registrations, form submissions, and related sales, marketing, support, or customer success records.


How do we collect your data?

You directly provide Cat Media Ltd with most of the data we collect. We collect data and process data when you:

• Register online for a webinar or event, download content from our site, sign up for a course.
• Voluntarily complete a customer survey or provide feedback on any of our feedback forms or via email.
• Use or view our website via your browser's cookies.

We may also collect and process personal data through our customer platform and business communication tools, including HubSpot, Microsoft, video meeting platforms, email, calendar integrations, meeting booking tools, and approved AI-enabled tools. This may include meeting recordings, transcripts, AI-generated notes, summaries, emails, call logs, CRM activity records, and other communications exchanged with prospects, customers, partners, suppliers, or event attendees.

Use of AI-enabled tools

Cat Media may use approved AI-enabled tools to support business operations, CRM management, marketing, customer support, analytics, content workflows, service enquiries, and internal productivity.

We do not use free, personal, public, or unmanaged consumer AI accounts to process personal data for Cat Media business purposes. Where AI-enabled systems are used, they are business, enterprise, private, or contractually controlled environments subject to appropriate confidentiality, access control, security, data protection, and contractual safeguards.

Cat Media may use enterprise-grade tools and services including Microsoft enterprise AI services, Microsoft Azure AI services, Microsoft Foundry / Azure AI Foundry, Azure OpenAI models, OpenAI business services, the OpenAI API, Anthropic/Claude commercial services, HubSpot AI/Breeze, and Cat Media’s proprietary or managed tools, where appropriate for our business operations or agreed services.

Cat Media does not use personal data to train public, shared, or third-party foundation models. Where AI-enabled services are provided by third parties, their use is governed by applicable service terms, data processing terms, transfer mechanisms, and security controls.

Client service data processed by Cat Media on behalf of clients is governed by our Data Processing Statement, applicable client agreements, data processing agreements, and documented client instructions.

Where meeting recording, transcription, or AI note-taking tools are used, including HubSpot Notetaker or similar approved business tools, Cat Media uses them to support meeting follow-up, CRM record keeping, customer service, sales processes, project delivery, and internal business administration.

We aim to inform meeting participants when a meeting is being recorded, transcribed, or summarised using AI-enabled tools, and we apply appropriate access controls and retention practices to meeting records.

Automated decision-making

Cat Media does not use AI or automated processing to make decisions about individuals that produce legal effects or similarly significant effects, unless we separately notify the individual and provide the safeguards required by applicable data protection laws. AI-enabled tools may be used to assist with internal analysis, classification, summarisation, CRM management, marketing operations, customer support, and service delivery, but human oversight remains part of our business processes.


Cat Media Ltd collects your data so that we can:

• Manage and store your data in our CRM for legitimate business, sales, support, and contacting purposes.
• Respond to enquiries, meeting requests, event registrations, downloads, forms, and service requests.
• Send you marketing communications where permitted by law or where you have opted in.
• Provide relevant resources, gated content, newsletters, webinars, events, tools, and website experiences.
• Analyse and improve our website, CRM, marketing, content, sales, support, and service operations.
• Use approved AI-enabled tools to support business operations, analytics, CRM management, customer support, content workflows, and service delivery, subject to the safeguards described in this Privacy Policy.

• Record, transcribe, summarise, review, and follow up on meetings, calls, emails, and customer communications where appropriate for sales, support, customer success, project delivery, legal, compliance, training, or business administration purposes.

How do we store your data?

Cat Media Ltd securely stores your data at:

  • Microsoft Azure Cloud, in accordance with an extensive range of national, regional, and industry-specific legislative requirements and security standards, the Microsoft Azure Cloud Platform maintains strict compliance with such regulations, including, inter alia, SOC 2, ISO 27001, and multiple additional standards.

We aim to process and store your personal data in the European Union (EU), the European Economic Area (EEA), or the United Kingdom (UK) where possible. Where we use service providers or approved tools that process personal data outside these locations, we rely on appropriate safeguards such as adequacy decisions, standard contractual clauses, data processing agreements, transfer risk assessments, and other lawful transfer mechanisms where required.

Log Files

Cat Media's website follows a standard procedure of using log files. These files log visitors when they visit websites. All hosting companies do this and a part of hosting services' analytics. The information collected by log files includes internet protocol (IP) addresses, browser type, Internet Service Provider (ISP), date and time stamp, referring/exit pages, and possibly the number of clicks. These are not linked to any personally identifiable information. The purpose of the information is for analysing trends, administering the site, tracking users' movement on the website, and gathering demographic information.

Data Security
